We're constantly updating and enhancing ChurchSuite, often building directly upon customer feedback to guide our development. The following lists some changes that were made to ChurchSuite between 18th September 2025 and 31st December 2025.

September 19th, 2025 Collecting booking enquiries

You can now collect booking enquiries from your customers. The new functionality is ideal for use with external and internal booking types, and for life event enquiries like a wedding, funeral or baptism. Submitted enquiries are added to the Bookings module with an enquiry status, and managers can optionally receive enquiry notifications. Once received, simply review the enquiry, confirm or decline it as appropriate, and communicate with the customer. For each booking 'Type', build a customised enquiry form to collect all the pertinent details about the enquiry, the customer, and their responses to any type-specific questions added to the form. Where there's a definitive match, the submitted enquiry is linked to an existing customer, or a new customer record is created. You can optionally choose bookable resources to show on the form and collect responses to resource questions. You can make booking enquiry forms accessible through your website. You can also share a locked customer-facing enquiry form link with repeat customers to use time and again for their enquiries - the customer's details are pre-populated into the form.

September 26th, 2025 Added support for custom ratios in Check-In

We've added the ability to record Support Needs and Support Capacity for each person within the Check-In system. For attendees who require support that differs from the default group ratio, you can now edit their check-in and specify the appropriate Support Needs — for example, "1:1 support required." Team members follow the same principle, allowing you to indicate their Support Capacity — i.e. the number of attendees they can support. Whether you have attendees who need additional support or team members with different capacities (for instance, those in training or under a certain age), you can now accurately record this in Check-In. Group ratios are automatically updated to reflect the live situation.

You can access the Notes page via More → "View notes" on the Contacts, Children, Events, Bookings, Customers, Givers, Ministries, Groups, Plans, and Organisations pages. Alternatively, when viewing a record, you'll now find a "View all" button within the Notes section.

November 6th, 2025 Tweaks to ordering and grouping on people forms

We've made small adjustments to the ordering and grouping of fields on people forms when adding or editing contacts, children, givers, and customers. The field order now more closely matches what you see when viewing a person's profile, with grouping aligned accordingly. Sections that draw their values from module settings — such as Communication and Login & Privacy — have been moved to the bottom of the form to make the most commonly used fields more prominent. You can still override these defaults if needed, but in most cases the module defaults will be suitable. There are no changes in functionality — the new layout simply provides a cleaner, more logical flow through the form.

CharitySuite customers can now access the public beta version of our new giving app, designed to collect anonymous small donations in a contactless user experience. Use the app on a device at a fixed giving kiosk or circulate a device when taking up an offering at in-person gatherings and events. With the app locked to a preselected fund, the giver simply chooses a preset amount or enters a custom amount and taps their card to make their donation. The app is compatible with iOS and Android NFC-enabled devices. It uses the device's built-in NFC reader to collect donations with a simple card tap without requiring an additional external card reader. Tap to Donate supports donations in GBP. Guidance on how to join the beta programme is included in our related support article.

API

October 22nd, 2025 For Developers: New OAuth Apps

We've added new OAuth Apps, which can be used by your own scripts or applications to access your data, authorised through a browser-based login. OAuth Apps are used with the OAuth2 Authorisation Code grant to obtain short-lived access tokens for our v2 API on behalf of users or admins (rather than My ChurchSuite members). OAuth client secrets can be easily managed, and to facilitate good security practices, a second secret can be created to allow you to periodically rotate credentials in your applications without downtime.
