We're constantly updating and enhancing ChurchSuite, often building directly upon customer feedback to guide our development. The following lists some changes that were made to ChurchSuite between 17th April 2025 and 30th June 2025.
ChurchSuite
April 17th, 2025 "Send email" & "Send SMS" moved when viewing a tag
When viewing a tag, the "Send email" and "Send SMS" actions have moved from the top of the page to be part of the bulk actions menu in the People tab. We hope that this change helps to better communicate how many people will be included in communication, alongside adding new bulk actions that weren't previously available on this screen.
April 24th, 2025 Dashboard widget for Tag Overlap Percentage
What percentage of members have been baptised? How many new believers have become members? What's our ratio of small group leaders to small group members? What proportion of non-members do not belong to a small group? To give insights into these questions, and many more, we've added a brand-new Dashboard widget called Tag Overlap Percentage, which enables you to easily compare two tags, set a target, and view the percentage of people who are in both.
April 24th, 2025 Migrating Resource Overseers to Managers
We frequently receive feedback from Users who want their resource booking digests and weekly emails to be sent to their user email address rather than a personal Address Book contact email. To distinguish the use of Overseers for ministries, clusters, and events (which continue to be overseen by Address Book contacts through My ChurchSuite), we have introduced "Managers" for Resources in the Bookings module. Managers are module users. To help with the transition, if an "Overseer" contact is linked to an active User, we will migrate all your Resource overseers, so no further action is needed. However, if you have any Resource overseers without a linked User, they will need to be migrated manually. You can either remove the Overseer if they no longer need to receive those emails or add a new User linked to the Contact. Once done, you'll see a handy Migrate action to move everything over for that Resource. You don't need to wait for the migration to happen - you can migrate overseers to managers today for each Resource in your Bookings module. Click the link below for instructions.
April 24th, 2025 Migrating booking Type Overseers to Managers
We frequently receive feedback from Users who want their booking Type digests and weekly emails to be sent to their user email address rather than a personal Address Book contact email. To distinguish the use of Overseers for ministries, clusters, and events (which continue to be overseen by Address Book contacts through My ChurchSuite), we have introduced "Managers" for Types in the Bookings module. Managers are module users. To help with the transition, if an "Overseer" contact is linked to an active User, we will migrate all your Type overseers, so no further action is needed. However, if you have any Type overseers without a linked User, they will need to be migrated manually. You can either remove the Overseer if they no longer need to receive those emails or add a new User linked to the Contact. Once done, you'll see a handy Migrate action to move everything over for that booking Type. You don't need to wait for the migration to happen - you can migrate overseers to managers today for each Type in your Bookings module. Click the link below for instructions.
April 25th, 2025 Improved form response handling with auto-linking
We now auto-link form responses when there is a definitive match to an existing contact or child, which means form actions set to run 'always' or 'conditionally' will run automatically as part of the auto-linking process. Where there is no definitive match, the system defaults to a fail-safe position, requiring a manual response link. Auto-linking applies to forms with a Primary Response Type set to "Contacts" or "Children" and matches using the response data from smart-linked fields for First Name, Last Name, Email and Mobile.
April 25th, 2025 New "Move to flow stage" form action
Some flow processes require people to remain in a certain stage until they have responded to a form that you've sent them to complete. The new "Move to flow stage" action for forms enables you to set up a response action that automatically moves people to the next stage of your flow process when they submit their form response, reducing the need for manual user intervention.
April 25th, 2025 Upgraded "Add to flow" action for Forms
The "Add to flow" form action now supports specifying a flow stage that linked form respondents are added when the action is run. If a stage is not specified, respondedents are added to the first stage of the flow.
April 25th, 2025 Improved response linking workflow
We've entirely rebuilt the form response linking workflow to make it easier to link a response and run actions within the same pop-up. Clicking "Link response" from the Responses tab of a form, opens a new pop-up that takes the user through a more intuitive process of linking the response to an existing person - with matching suggestions shown - or to add a new contact or child, and then optionally run the form actions for that person.
April 28th, 2025 Bulk select multiple records with shift+click
When selecting multiple records for bulk actions, it can sometimes be desirable to select a series of records in a block. We've added functionality so that you can click the first checkbox in your block, then hold down Shift on your keyboard and click the last checkbox in the block - all of the checkboxes in between the first and last will be automatically selected for you!
April 28th, 2025 Customisable form invitations
We've made it easier to customise the invitation email for a Form, which can now be accessed directly from the form "view". Use the familiar email editor to compose and style the invitation message ready for use when sending form invitations.
April 28th, 2025 New "Send form invite" action for Flows
We've added a new action for Flows in the Address Book and Children module that enables you to send people a form invitation.
April 29th, 2025 Rotas "Members" section
We've added a "Members" section to the Rotas module, giving you easy access to browse the list of people who are members of active ministries and their roles within teams. Using the search filters, you can filter the list to show only members in selected ministry teams with selected roles, and order the results by Name, Ministry or Team. Using the bulk actions, you can send emails or SMS messages, download the data as a CSV file, and print address labels and name badges for the listed individuals.
May 1st, 2025 Assign default Resources to a booking Type
We've added the ability to assign default resources to a booking Type. For example, you might assign the Church, Hall and Verger as default resources for your "Wedding" type. Default resources will be preselected when adding a booking, but can be deselected and additional resources chosen, if you wish. We hope this new feature makes the process of adding bookings a little quicker and easier for your booking admins.
May 14th, 2025 "Send email" updates
Linked in with the recent updates to filters and bulk actions, we've added a "Compose new email" action to the Contacts page, allowing you to begin composing an email with no recipients selected. This workflow is similar to how the Communication section worked previously. If you want to send an email, you now have two options: choose "Compose new email" and then individually select your recipients in the window that loads (or search by tag name) or filter the Contacts list and choose the "Send email" option from the bulk actions menu.
June 4th, 2025 New Key/Meter/Tempo/Scale filters for Songs
We've added a selection of new filters to the Songs section, making it even easier to find songs based on their key/meter, etc. New optional columns now show all keys, tempos and meters across song arrangements, giving you a quick at-a-glance way to see if the song meets the criteria you're looking for.
June 9th, 2025 New filter options on giver profiles
Bringing filter consistency with the Donations section of the Giving module, we've added the same Filters to the Donations tab for giver profiles. You can now filter long donation lists by Status, Fund, Method, Gateway (including a handy new Gateway link to the transaction in your Stripe and GoCardless accounts), Amount, and for UK customers, Gift Aid status. As with all our new filters, you can pin and unpin them, and choose the columns of data to be displayed on the Donations tab. Helpfully, your browser remembers the filter and column selections, meaning they'll persist across login sessions.
June 10th, 2025 Default communication options for new givers
We've added a new Giving module setting that enables you to set the default communication options that are applied to new givers added or imported to the module by a User and to new givers created through Donate.
June 19th, 2025 Updated filtering for event sign-ups
We've updated the filtering on the Sign Ups tab for events, making it easier to see at a glance which filters have been applied. You can pin frequently used filters so they remain visible every time you visit the Sign Ups list. The bulk actions have also been updated, making it easier to perform actions for multiple selected or filtered sign-ups. We've also streamlined the workflow for communicating with sign-ups, as well as adding to tags, flows, and key dates.
June 20th, 2025 Form invite responses link can now be edited
It's now possible to edit the person link for all form responses, including responses linked to an invitation. This will be helpful if a couple or a parent/carer have inadvertently used the wrong invite email for their response. Now you can remove the person link for an invite response, or re-link it to the correct person (subject to the form's Primary Response "Type"). The new linked person's invite status is updated to "Responded", and the original invite status is reset to "Not responded".
June 27th, 2025 "Latest Usage" filtering for Songs
Within the Songs section of the Planning module, there's a new "Latest Usage" filter. This lets you quickly find songs based on recent usage—for example, "in the last 3 months." You can also sort the Latest Usage column in reverse order to identify songs that haven't been used in a while.
June 30th, 2025 Relative date range searches
We've updated the date range filters for our index pages such as Contacts or Children so they offer options for relative date searches, e.g. "Last 3 months", "Next 2 months", alongside a "Custom dates" option for absolute date ranges. Using these updates, you can quickly find, e.g. "people who were archived in the last 2 months" with fewer clicks than before.
